This Privacy Policy explains how Spectreviews, LLC ("Spectreviews," "we," "us," or "our") collects, uses, and shares information when you use our websites and applications (the "Service"). By using the Service you agree to this Policy.

1. Information We Collect

Account Information

When you sign up we collect your name, email address, and password (stored hashed via Firebase Authentication). If you complete your profile we may also collect your company name, phone number, language preference, and logo.

Inspection Reports and User Content

When you upload an inspection report (PDF), we store the file, extract text and images for processing, and generate derivative outputs (video summaries, narration audio, written summaries, repair estimates). Comments and annotations you or invited collaborators add are also stored.

Usage and Device Data

We automatically collect usage information such as pages viewed, features used, device and browser type, IP address, and approximate location derived from IP. Public share links may record viewer activity (page views, video watch time, completion percentage) when tracking is enabled by the share creator.

Payment Information

Payments are processed by Stripe. We do not store your full payment card number. Stripe provides us a customer ID and limited billing metadata (such as plan, status, and last-four digits) needed to manage your subscription.

Cookies and Similar Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and measure usage. You can control cookies in your browser settings; disabling them may break parts of the Service.

2. How We Use Information

• Provide, operate, and maintain the Service.
• Process uploaded reports through AI models to generate summaries, narration, estimates, and other outputs you request.
• Authenticate users, prevent fraud, and protect the Service.
• Bill you for paid plans and manage subscriptions.
• Communicate with you about updates, security alerts, and account information.
• Send marketing or product communications (you can opt out at any time).
• Improve the Service through aggregated, de-identified analytics.

3. AI Processing

Generating summaries, narration, and repair estimates requires sending portions of your report content to third-party AI providers (for example, OpenAI for text generation and a voice-synthesis provider for audio). These providers process content under their own contractual commitments and, where available, with options that prevent your content from being used to train their public models. Your Content is not used to train Spectreviews' own models.

4. How We Share Information

We do not sell your personal information. We share it only as follows:

• Service providers / sub-processors who power the Service, including Google Cloud Platform, Firebase, Stripe, OpenAI, and voice-synthesis providers. They access only what they need to perform their function and are bound by confidentiality obligations.
• People you invite to view or comment on a shared report receive the content and any comments associated with it.
• Legal and safety: when required by law, court order, or to protect the rights, property, or safety of Spectreviews, our users, or the public.
• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.

5. Data Retention

We retain account information for as long as your account is active. Uploaded reports and generated outputs are retained while your account is active and for a reasonable period afterward to support customer service, accounting, and legal obligations. You may request deletion at any time by emailing info@spectreviews.com; we will delete or anonymize your data unless we are required to retain it.

6. Security

We use industry-standard safeguards including encryption in transit (HTTPS), encryption at rest in Google Cloud Storage, access controls, and authenticated APIs. No system is completely secure; you are responsible for keeping your account credentials confidential.

7. Your Rights and Choices

• Access & correction: you can review and edit profile information from your account settings.
• Deletion: contact us to request deletion of your account and associated content.
• Marketing email: use the unsubscribe link in any marketing email.
• Regional rights: if you are in a jurisdiction with privacy rights such as the GDPR or CCPA, you may have additional rights including access, portability, restriction, and objection. Contact us to exercise those rights.

8. International Users

The Service is operated from the United States and processed primarily in the United States. By using the Service you consent to the transfer and processing of your information in the United States and any other country where our service providers operate.

9. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes we will notify you by email or through an in-app notice. Continued use after the effective date of the updated Policy constitutes acceptance of the changes.
